We’re happy to work with your existing artwork or create a completely new design for you from scratch.

Our team also uses modern AI design tools to help bring ideas to life quickly and creatively – and we welcome customers to do the same.

Using AI Tools (e.g. ChatGPT, Midjourney, Canva, etc.)

If you’re using AI to create your design, that’s a great starting point. AI-generated concepts can help visualise your ideas and speed up the design process.

To ensure the best results, we recommend:

• Requesting or exporting your design as a vector file (AI, EPS, or SVG) wherever possible.
• Providing the highest resolution version available (PNG/JPEG if vector is not available).
• Sharing the original prompt or concept description (this helps us refine and adapt your design accurately).

Important to Know

AI-generated designs are often not production-ready – but don’t worry, that’s where we come in.

Our team will:

• Refine and optimise your design for manufacturing.
• Adjust fine details for clarity and durability.
• Convert flat visuals into 3D medal-ready artwork.
• Ensure your design works perfectly with the chosen size, shape, and finish.

Top Tip for Faster Turnaround
If possible, ask your AI tool to generate or export a vector-based version of your design. This significantly improves accuracy and reduces production time.

File formats

If you already have a logo, sketch, or digital design, you’re off to a great start. We accept a wide range of file formats, including:

• Vector files (AI, EPS, SVG).
• High-resolution PNG or JPEG.
• PDF files.

Don’t worry about making your artwork “production-ready” – that’s our job. We’ll adapt your design to suit the shape, size, and depth of the medal. This may include refining small details, improving text clarity, or converting flat artwork into a 3D design.

In short: if you have something, send it over – we’ll take care of the rest.

What if I don’t have any artwork?

No problem at all – many of our customers start with just an idea or theme.

To help us create a design that suits your event, it’s useful to consider:

• The occasion (e.g. marathon, school event, corporate award).
• Who it’s for (children, adults, athletes, employees).
• The location or setting (city, countryside, beach, etc.).

You can also share ideas such as:

• Symbols or icons (e.g. stars, waves, mascots).
• Landmarks or buildings.
• Event text (name, date, location).
• Brand colours or fonts.
• Preferred shapes or sizes (round, custom, oversized).

Even reference images, screenshots, or a Pinterest board can be helpful. Our design team will turn your ideas into a professional, production-ready medal design.

What information should I provide for a custom design?

The more detail you can share, the smoother the process will be. Helpful information includes:

• Event name, type, date, and location.
• Target audience (e.g. children, adults, professionals).
• Style or theme (fun, formal, vintage, etc.).
• Any specific design requests or preferences?
• Ribbon colours or branding requirements.

Even if you’re unsure, just share what you can – we’ll guide you through the rest.

How does the design process work?

On acceptance of our quotation for your medals/belts or bespoke trophies. Our in-house design team will handle everything for you:

• Initial Design: We create a concept or digital mock-up based on your ideas or artwork
• Your Feedback: You review the design and request any changes
• Final Approval: Once you’re happy, we send the final artwork for approval before production

What happens after I approve the design?

Once approved, your order moves straight into production:

• Your medals are carefully manufactured to match the approved design.
• We maintain strict quality control throughout.
• You’ll be kept updated from production through to dispatch.

Whether you need a small run or a large bulk order, we ensure every medal meets a high standard of quality.

How long does customisation take?

Lead times vary depending on the product:

• Printed centres (medals, trophies, belts): 10 working days from artwork approval & payment.
• Die-cast medals (air freight): 5–12 weeks.
• Die-cast medals (sea freight): 12+ weeks.
• Etched championship belts (one-off designs): 6–8 weeks.
• Die-cast championship belts (bulk bespoke orders): 12+ weeks.
• Bespoke Trophies – 2 to 8 weeks, depending on the complexity of the design.

All lead times are approximate and may vary during peak periods.

Do you offer free UK delivery?

Yes – we offer FREE UK Mainland delivery on all orders over £200.00.

• Orders under £200.00: £9.95 delivery
• Orders under £25.00: £7.50 delivery

Do you deliver internationally?

Yes – we ship worldwide.

If your country is not listed, simply email sales@jctrophies.com with your order details and full delivery address, and our team will be happy to provide a custom delivery quotation.

What are your UK delivery timescales?

Most in-stock items are dispatched within 3–5 working days. Customised orders are dispatched within 10 working days.

For larger or event-based orders, we recommend ordering at least 4 weeks in advance to guarantee availability.

• You can select a preferred delivery date at checkout.
• If we cannot meet your requested date, we will contact you promptly with an alternative.
• On dispatch, you’ll receive a 1-hour delivery window notification via email or SMS.

For urgent orders, please contact us before placing your order to ensure we can meet your required delivery deadline.

Delivery Times (After Dispatch)

Once your order has been dispatched, delivery is typically made on a next working day service.

In most cases, you can expect to receive your order the next working day after dispatch. However, please note that this is not a guaranteed service, and occasionally deliveries may take up to 2 working days from dispatch.

We always aim to deliver as quickly as possible and will keep you updated with tracking information once your order is on its way.

Do you offer delivery tracking?

Yes – full tracking is provided for all deliveries.

If you include a valid email address and mobile number when placing your order, you will receive tracking details from our courier once your goods have been dispatched.

On the day of delivery, you will also receive a 1-hour delivery window notification via email or SMS.

Please remember to check your junk/spam folder in case these notifications are filtered.

Important Delivery Information

• Our courier partners do not require a signature for delivery.
• If no one is available and there is no safe place to leave the parcel, a second delivery attempt will be made on the next working day.
• If delivery is unsuccessful again, the goods will be returned to us.
• A re-delivery charge will apply to send the order out again.

If you have any specific delivery instructions, we recommend adding them at checkout to help ensure a smooth delivery.

Do you offer bulk discounts?

Yes – we reward larger orders with automatic discounts at checkout:

• FREE UK delivery on orders over £200
• 5% off orders over £300
• 10% off orders over £500
• 15% off orders over £750
• 20% off orders over £1,000

All prices displayed on our website are exclusive of UK VAT.

• UK VAT will be clearly calculated and added at checkout
• For international orders, local taxes and duties (if applicable) may also be applied and will be shown where possible.

Urgent / Last-Minute Orders

We understand that deadlines can be tight, and we’ll always do our best to accommodate urgent or last-minute orders wherever possible.

We recommend contacting our team before placing your order so we can confirm availability and the quickest possible turnaround.

What’s the fastest turnaround available?
Fast turnaround times depend on the product, quantity, and level of customisation required.

• In-stock, non-customised items can often be dispatched within a few working days/next working day.
• Customised products may be expedited depending on the design and production requirements.

For urgent requests, please contact us with your deadline and order details, and we’ll advise on the fastest available option and any applicable express charges.

Minimum Order Quantities

There is no minimum order quantity for our custom printed championship belts – you’re welcome to order anything from 1 to 1,000+ units!

For our custom printed medals and trophies, minimum order quantities may apply. These typically start from 20 units; this will always be clearly stated on the individual product listing.

For fully bespoke die-cast medals and custom ribbons, we recommend a minimum order quantity of 100 units.

If you’re unsure about minimums for a specific product, feel free to contact our team – we’re happy to help.

What materials are your championship belts made from?

Our stock championship belts and custom printed belts are manufactured using zinc metal plates, offering a durable and high-quality finish.

For fully bespoke designs, we also offer:

• Brass etched belt plates: Ideal for lower quantity orders requiring a completely custom design
• Acrylic belt plates: A more cost-effective option for tighter budgets

What materials are your medals made from?

Our main medal range, including custom die-cast medals, is produced using zinc metal, giving a premium look and feel.

We also offer alternative materials to suit different event requirements, including:
